About the Role

Key duties include scheduling front‑desk coverage, assigning daily tasks, assisting senior directors with projects, maintaining office supplies and equipment, handling calls and mail, managing emergency and security logs, processing credit‑card receipts, performing billing and HR clerical tasks, attending training, and ensuring regulatory compliance. • Schedule Concierge team to ensure front‑desk coverage. • Assign daily tasks and verify completion. • Assist Business Operations Director and Executive Director with special projects. • Maintain office supplies inventory and coordinate equipment maintenance. • Answer and screen all incoming calls courteously. • Receive, process, and distribute community mail. • Update emergency phone number log and resident emergency face sheets. • Monitor security alarms, resident call system, and front‑door access. • Order and restock office supplies as needed. • Support credit‑card users by posting receipts and reconciling charges. • Perform administrative billing duties, including posting ancillary charges and handling resident billing inquiries. • Provide HR clerical support: schedule interviews, verify references, process pre‑hire packets, order badges/uniforms, handle CN‑9 forms. • Attend all scheduled in‑service training sessions. • Ensure compliance with federal, state, local regulations, and community policies.

What You Bring

• High school diploma preferred; strong interpersonal skills required. • Experience working with senior residents. • Proficient in Microsoft Office (Windows, Outlook, Excel) and able to learn new applications quickly. • Physical ability to lift up to 25 lb and perform tasks such as standing, walking, stooping, and kneeling.

This position leads the Concierge team, creates a positive first impression for visitors, and supports sales and marketing through information and clerical assistance.
