About the Role
The Construction Administrative Assistant provides disciplined administrative leadership that keeps projects moving, information flowing, and teams focused on execution. The role creates order, accuracy, and reliability across project documentation, systems, and communication, supporting Project Managers and Operations Leadership in delivering predictable results. • Serve as an administrative partner to Project Managers, handling daily needs, record keeping, startup and closeout support, and ensuring organized documentation. • Own document control in Procore, Box, and internal systems; manage submittals, RFIs, meeting minutes, permits, inspections, and closeout documents per Creature standards. • Manage compliance and risk support, including lien rights via LevelSet, certificates of insurance via MyCOI, and licensing requirements, keeping documentation up‑to‑date. • Assist with financial and payroll processes such as pay applications, invoice routing, job cost documentation, and time‑entry review, escalating discrepancies as needed. • Identify workflow inefficiencies and help standardize repeatable processes to enable scalable project administration. • Ensure project documentation is complete, accurate, and readily accessible. • Process pay applications, invoices, and closeout materials without delay. • Build Project Managers’ trust in the supporting systems and information. • Proactively identify and address compliance risks. • Clear communication: keep teams aligned professionally.

What You Bring
• Conscientiousness: notice details and fix issues before they escalate. • Growth mindset: improve systems and pursue development within construction operations. • Minimum 2 years of administrative experience in a construction environment. • Strong organizational skills with high attention to detail. • Ability to support multiple projects and shifting priorities. • Proficiency in Microsoft Office; Procore experience preferred. • Experience supporting Project Managers or Operations Leadership. • Familiarity with construction documentation such as RFIs, submittals, and permits. • Exposure to construction accounting or job‑cost systems.
