About the Role
The Project Coordinator provides routine administrative support to internal and external project management teams, handling data collection, processing, organization, and filing to meet documentation, reporting, compliance, and communication needs, while following directions and escalating exceptions to a supervisor, with a career path toward Senior Project Coordinator. The working environment may involve lifting up to 10 pounds, occasional travel, non‑traditional hours, a normal office setting that can include extreme temperatures, and a mix of frequent sedentary tasks and occasional physical activities such as standing, walking, bending, and reaching. • Utilize the WorkSmart responsibility matrix to align with business process improvements throughout the project lifecycle. • Collect, process, input, organize, and file data and documentation from various sources per established business processes. • Process information within specified timeframes to maintain efficiency and timeliness. • Provide timely and effective communication to internal and external stakeholders. • Support bidding by creating bid invitations, preparing specifications, addressing regulatory and compliance requirements, and tracking bid communications. • Support award process by issuing bond memos, setting up and executing subcontracts, and providing system access to dashboards. • Organize information into standard formats and reports using project dashboard, CMiC, electronic signature tools, and maintain documents per file structure. • Coordinate submission of project documentation, prepare routine correspondence, and review outgoing materials for best practice standards. • Create and distribute potential change items (PCIs) and requests for information (RFIs), following up on pricing and change orders. • Manage project deliverables by maintaining dashboard information and electronically processing submittals, pay applications, bills of sale, compliance documentation, RFIs, and change documents. • Track and monitor compliance documentation (badging, certified payroll, diversity reporting, insurance certificates, bonds, lien waivers, affidavits) before releasing subcontractor payments. • Receive and direct incoming calls and visitors, providing additional administrative support as needed. • Share subject‑matter expertise to support teamwork and deliver results. • Handle highly confidential and sensitive information with discretion and integrity. • Manage difficult or emotional customer situations promptly and efficiently. • Meet client commitments and identify service opportunities. • Solicit and apply feedback to improve quality and service. • Arrange team member travel and manage expense reporting as needed. • Perform work accurately, completely, and in a timely manner. • Collaborate cross‑functionally to obtain information or solve problems. • Deliver quality work with attention to detail. • Learn and use various software, tools, and systems needed for business needs. • Build relationships and collaborate within internal and external teams. • Engage in frequent activities such as sitting and viewing a computer screen. • Perform occasional activities like standing, walking, bending, climbing, reaching above shoulder, pushing, and pulling.
