About the Role
The role involves providing comprehensive support such as document preparation, calendar management, travel coordination, and reception duties, while collaborating with other administrative staff and firm leaders. • Revise client proposals, fee estimates, scopes of services, forms, progress reports, and other project documents. • Produce plans, project manuals, and reports; handle copying, printing, binding, filing, and scanning. • Compile meeting agendas, minutes, and miscellaneous documents. • Manage Outlook calendars, schedule meetings and calls. • Arrange travel and process expense reports. • Support monthly invoicing activities. • Partner with other administrative staff and firm leaders. • Manage reception: answer/direct calls, handle packages, greet visitors. • Order supplies and maintain production, supply, and common areas. • Assist with event planning and coordination. • Run occasional errands.

What You Bring
Ideal candidates have at least two years of corporate administrative experience, strong communication skills, and proficiency with the Microsoft Office suite. They are organized, client-focused, able to handle confidential information, and thrive in a fast-paced environment where leaders are frequently on the road. • Minimum 2 years experience in an administrative role within a corporate or professional environment. • Strong verbal and written communication, including grammar and proofreading. • Proficient in Microsoft Office Suite. • Professional, organized, client-oriented, and deadline-driven. • Ability to maintain confidentiality and anticipate needs. • Self-starter able to thrive when leaders are traveling off-site. • Preferred: contract management and billing experience; graphics and PowerPoint skills.
