About the Role

The HVAC Data Entry role involves accurately entering and maintaining HVAC service, customer, and equipment data to support daily operations. This onsite position ensures records are complete, organized, and up‑to‑date while protecting confidentiality and demonstrating strong attention to detail. • Enter data from invoices, service tickets, work orders, and mechanical plans into databases or spreadsheets. • Update and maintain accurate service, repair, and inspection records. • Scan documents, organize digital files, and ensure data integrity and accessibility. • Communicate with technicians and foremen to gather tracking information, follow up on backorders, and schedule deliveries. • Generate reports or track labor and parts usage for projects. • Handle customer inquiries and assist with order processing. • Perform duties in a timely, cost‑effective manner while collaborating harmoniously with colleagues and customers.

What You Bring

• Demonstrate ability to work under pressure, show initiative, solve problems, and communicate effectively. • Hold a High School diploma or equivalent. • Possess at least two years of clerical and data‑entry computer experience. • Have intermediate skill in Microsoft Office and database programs. • Maintain a valid state driver’s license with an acceptable driving record. • Pass background checks, drug screening, and be a U.S. citizen. • Preferred: experience working on a government contract. • Preferred: experience with NEXGEN software. • Preferred: proficiency with Microsoft Office 365 tools such as Excel, Word, PowerPoint, SharePoint, Planner, and Teams.
