About the Role

The Assistant Facilities Manager provides facilities support for assigned buildings, administers the computerized maintenance management system (CMMS), prepares reports and coordinates vendor activities. The role works closely with site‑based Operations and Facilities teams, account leadership and clients to handle routine facility operations, create and verify work orders, manage work‑order flags, FM projects and supervise maintenance technicians and third‑party providers. Day‑to‑day responsibilities include building collaborative relationships with vendors and clients, supporting short‑ and long‑term projects, and overseeing daily maintenance activities. Using industry and client best practices, you will plan, schedule and assign all frequency and work‑type maintenance tasks for the team, and oversee health, safety, security and environmental initiatives. You will also communicate KPI and SLA requirements, partner to identify service delivery improvements and manage third‑party contractors to ensure work‑order completion. You will review daily work orders, follow up to ensure successful service delivery and a positive customer experience, and contribute to site KPI, financial and other metrics reporting on a monthly, quarterly or annual basis. Managing third‑party vendors involves analyzing KPIs and SLAs defined in the scope of work, monitoring contract terms, invoice compliance, and resolving escalations quickly with action plans. Vendor performance will be assessed through scorecards, business intelligence, MBR/QBRs and improvement plans. The role is responsible for maintaining the integrity of the CMMS platform (Corrigo), entering and updating asset data, and ensuring proper system configuration to meet internal and client objectives. You will also provide vendor coaching on Corrigo and manage operations to mitigate operational risk. • Manage work orders, flags, FM projects, and coordinate maintenance technicians and third‑party providers. • Build and maintain collaborative relationships with vendors and clients. • Plan, schedule, and execute preventive and corrective maintenance activities using best practices. • Oversee health, safety, security, and environmental initiatives for the site. • Communicate KPI and SLA requirements, identify service delivery improvements, and track savings. • Monitor vendor performance against KPIs/SLAs, assess contracts, ensure invoice compliance, and resolve escalations. • Maintain data integrity in the CMMS (Corrigo), including asset entry and system configuration. • Provide reporting on site KPIs, financial metrics, and vendor performance for regular reviews.

What You Bring

Required qualifications include 3‑4+ years of facilities management experience with CMMS/Work Order applications, superior customer service skills, proficiency in MS Excel and the ability to customize administrative reports. Excellent verbal and written communication, process‑building capability, multitasking without direct supervision, and US citizenship (due to government contract requirements) are also required. The estimated compensation range is $70,000‑$80,000 per year, with final packages determined by qualifications, location, market conditions and internal considerations.
