About the Role

The Workspace Experience Coordinator ensures seamless and timely execution of all Workplace Services tasks, creating a productive and organized environment that aligns with client objectives. Operating from the local office, the role supports day‑to‑day on‑site operations and addresses local business needs while serving as the primary on‑ground resource for office functions. By proactively identifying opportunities to improve efficiency, employee experience, and workplace functionality, the Coordinator delivers a five‑star experience for staff, visitors, and contractors. The position blends hospitality, workplace services, and facilities operations, taking ownership of both soft and hard services with a high level of autonomy. • Manage soft and hard facilities services for BHI in line with the MSA. • Serve as front‑of‑house representative, handling reception, visitor check‑ins, calls, emails, and mail distribution. • Maintain accurate logs of shipments, visitor records, badge distribution, and office inventory. • Oversee meeting‑room readiness, including cleanliness, AV setup, and post‑meeting reset. • Coordinate event logistics such as catering, furniture arrangement, and IT AV testing for internal events and celebrations. • Inspect office areas, schedule maintenance repairs, and manage inventory of supplies and pantry consumables. • Organize weekly “Together Tuesdays” lunch and liaise with cleaning teams to ensure workspace cleanliness. • Support sustainability initiatives, waste management, and energy‑conservation programs. • Manage vendor relationships, ensuring contracted services are delivered as agreed. • Provide health and safety support, enforce protocols, and participate in the local incident response team. • Handle ad‑hoc operational and administrative tasks and be available for after‑hours overtime with notice.

What You Bring

• Degree in Facilities Management, Building Services, business, or equivalent experience. • 3‑5 years of relevant experience, preferably managing multiple offices across regions. • CPR/AED training highly desirable. • Knowledge of contemporary workspace concepts, FM best practices, and health‑and‑safety legislation. • Proficiency with Google Suite, supply‑chain management, and monthly service‑delivery reporting. • Strong interpersonal skills, detail‑orientation, “can‑do” attitude, and customer‑focused mindset. • Ability to identify process improvements, cost‑saving opportunities, and act as a trusted advisor.
