About the Role

This position performs daily administrative tasks and provides support to office departments and the business unit, including customer service, handling mail and supplies, managing calendars, and coordinating meetings and travel arrangements. • Provide professional customer service while processing day‑to‑day administrative items. • Process mail, overnight shipments, photocopying, filing, faxes, phone list updates, invoices, and order supplies and stationery. • Manage department head/manager’s calendar, meeting schedule, and contacts. • Edit and assemble documents and reports for department head/manager. • Assist with office inquiries and proactively escalate issues as appropriate. • Create and maintain organizational and seating charts. • Organize meeting support, record, transcribe, and distribute minutes. • Maintain historical business unit information to aid managerial decision‑making. • Arrange travel reservations, accommodations, itineraries, and agendas. • Process expense reports for department head/manager. • Maintain organized filing systems and coordinate document retrieval. • Promote company culture and support DE&I activities. • Order office supplies to meet operational needs. • Provide team support and cover duties during absences. • Suggest continuous‑improvement ideas and share recommendations. • Assist with special projects and coordinate events. • Maintain confidentiality of information. • Work independently with some oversight and collaboratively as part of a team.
