About the Role
The Office Manager will provide high‑level administrative support to the Division and act as the division’s office manager. This role assists division management with day‑to‑day office functions and supports the overall mission of the organization. Key duties include managing front‑desk operations, coordinating on‑site and off‑site meetings, and handling daily clerical tasks such as answering phones, filing, and typing documents. The manager ensures the reception area and kitchen inventory remain well‑stocked and presentable, maintaining a professional office environment. The position also requires ordering supplies, name badges, business cards, and electronic equipment, as well as overseeing office renovations, relocations, and troubleshooting standard office equipment. The manager serves as the primary liaison for building services and shared‑space concerns such as pest control, elevator issues, and cleaning. Additional responsibilities involve maintaining the company phone system, tracking milestones for new community openings, coding utility invoices, and resolving utility issues. The manager plans division events, supports the Division President with calendars and expense reports, and acts as the HR liaison for onboarding, terminations, and other personnel processes. • Manage front‑desk operations and coordinate on‑site and off‑site meetings • Perform daily clerical tasks including phone handling, filing, and document typing • Maintain reception area appearance and kitchen inventory of refreshments and supplies • Order and track office supplies, name badges, business cards, and electronic equipment • Oversee office renovations, relocations, and troubleshoot standard office equipment • Serve as primary contact for building services, pest control, and shared‑space issues • Maintain company phone system updates, extensions, and greetings • Track milestone status for new community openings and communicate across departments • Code utility invoices and resolve associated utility issues • Plan and procure division events such as holiday parties, trade partner meetings, and team‑building activities • Support Division President with calendar management, expense reports, and special projects • Act as HR liaison for onboarding, terminations, and OJR coordination

What You Bring
Required qualifications include a high school diploma or GED, a minimum of four years of office management experience in a professional setting, and prior supervisory experience. Candidates must be highly proficient with Microsoft Office, possess excellent communication and customer‑service skills, and be able to interact professionally with all levels of the organization. The role is primarily sedentary but requires the ability to bend, stoop, reach, lift, and carry materials up to 25 lb, as well as finger dexterity. A valid driver’s license is also required for occasional vehicle operation. • Minimum high school diploma or GED and at least four years of office management experience • Prior supervisory experience and strong proficiency with Microsoft Office (Word, Excel, PowerPoint) • Excellent communication, diplomatic, detail‑oriented, and customer‑service mindset • Ability to multitask under pressure and meet simultaneous deadlines • Working knowledge of standard office equipment (copiers, printers, fax machines)

Compensation ranges from $24.46 to $45 per hour, with eligibility for bonuses, commissions, and a comprehensive benefits package.
