About the Role
The part‑time Documentation Coordinator serves as the focal point within Design Engineering and Documentation Control for both internal and external documentation deliverables. Work is performed according to customer order requirements, development schedules, and directives from the Design Engineering Manager, with a strong sense of ownership and pride. This role works three days a week (24 hours total), is benefit‑eligible, and does not require nights or weekends. External customer deliverables include creating, preparing, assembling, and shipping packages such as standard drawing sets, special and standard packages, approval packages, and comprehensive manuals. Key activities involve reviewing SAP orders to determine documentation needs and due dates, generating non‑standard customer‑specific documents, coordinating input from CAD, technical writers, and engineers, and managing the printing, packing, and electronic submission of the final packages before closing out items in SAP. Internal customer deliverables focus on distributing drawings—preliminary, pilot, shop print, and final releases—to internal teams, maintaining associated SAP data, and keeping drawing revisions current in the drawing librarian. The coordinator also preserves document masters, artwork, microfilm, and electronic libraries, and scans drawings for digital storage. General responsibilities include maintaining the integrity of reproduction equipment, ordering and stocking supplies needed for documentation, and performing other duties as assigned by the Design Engineering Manager. • Create, assemble, and ship customer documentation packages (standard drawings, specials, approval packages, manuals). • Review SAP orders to identify documentation requirements and track due dates. • Generate and maintain non‑standard customer‑specific documents, tables of contents, and transmittal forms in MS Word. • Collect drawings, operation notes, and RFP sheets from CAD, technical writers, design engineers, and sales support for inclusion in deliverables. • Print, inspect, pack, and ship or electronically submit documentation packages; close out line items in SAP. • Prepare and submit weekly reports on received, completed, and overdue documentation orders. • Order and manage inventory of binders, manuals, and reproduction supplies needed for documentation. • Distribute internal drawings (preliminary, pilot, shop print, final) and keep drawing revisions up‑to‑date in SAP and the drawing librarian. • Maintain document masters, artwork, microfilm, mylar reproducibles, and electronic drawing libraries; scan drawings for digital storage. • Ensure daily operation of reproduction equipment, order consumables, and act as liaison for service support.
