About the Role

The Property Administrator supports the Property Management Team by performing a variety of administrative functions. This role ensures a high level of professionalism in handling property issues, responding promptly to tenant requests, and resolving concerns efficiently. Key duties include providing full administrative support such as phone assistance, report typing, filing, and distribution of correspondence. The administrator also schedules meetings and special events, assists with lease administration and insurance documentation, prepares bid proposals and service contracts, codes invoices, and maintains office supplies. Additional responsibilities involve tracking contracts and certificates of insurance, monitoring the work order system, managing purchase orders, maintaining lease and contract files, fostering positive tenant relationships, and assisting with management reports and budget preparation. • Provide full administrative support, including phone assistance, report typing, filing, and correspondence distribution. • Schedule and coordinate meetings and special events as needed. • Assist with lease administration, tenant contacts, and insurance documentation; generate related reports. • Prepare and coordinate bid proposals, service contracts, and approved invoices; support the bidding process. • Code invoices for Property Manager approval and ensure timely processing. • Maintain office supplies and ensure the office is fully stocked. • Enter and track contract and certificate of insurance information in software; monitor expirations. • Manage the property maintenance work order system and produce monthly status reports. • Oversee the property purchase order system and track related transactions. • Organize and maintain lease, contract, and other property management files. • Promote positive tenant and client relationships; track service calls. • Assist in preparing monthly/quarterly management reports and annual budgets. • Process staff hours, tenant bill‑back invoices, expense reports, meter readings, and check requests for review and approval.

What You Bring

Core competencies required are strong oral and written communication, customer focus, organization, interpersonal skills, initiative, and the ability to multitask effectively. A high school diploma or GED is required, while a bachelor's degree is preferred. Prior experience in customer service is advantageous. The position operates in a professional office environment using standard equipment such as computers, phones, and photocopiers. Physical demands include standing, walking, climbing stairs or ladders, and occasional travel between buildings in various weather conditions, with most time spent seated or standing at a desk. • Demonstrate strong communication, customer focus, organization, interpersonal skills, initiative, and multitasking ability. • Proficient in Microsoft Office Suite and capable of handling confidential information.
