About the Role

The Assistant Property Manager supports senior management in all facets of commercial real estate operations, acting as a bridge between tenants, clients, and internal teams. This role ensures professionalism and cultivates positive relationships while stepping in to perform property administrator duties when needed. Key responsibilities include delivering comprehensive administrative support, maintaining lease records, and organizing property files. The assistant also coordinates tenant move‑ins and move‑outs, oversees work order and purchase order systems, and processes invoices and tenant bill‑backs in alignment with established procedures. Additional duties involve developing a Tenant Service Package, updating operational manuals, verifying certificates of insurance, and managing staff expense and time‑keeping processes. The role assists with budgeting, financial reporting, bank deposits, and conducts regular inspections with service providers to ensure property standards. • Provide administrative support (phone, typing, reports, filing, correspondence) and manage office supplies. • Assist with lease administration by abstracting leases and maintaining the database. • Organize and maintain property files, leases, and contracts. • Prepare and coordinate bid proposals and service contracts. • Generate aging reports and follow up on delinquencies per policy. • Process invoices with proper backup according to procedures. • Coordinate tenant move‑ins/out, including furniture delivery and pickup. • Oversee work order and purchase order systems. • Develop and maintain a Tenant Service Package (handbooks, events, newsletters, gifts) and keep tenant data current. • Update office procedures in the Operations Procedure Manual. • Ensure certificates of insurance for tenants and vendors are current. • Manage processing of staff hours, expense reports, and check requests. • Process tenant bill‑backs for utilities and after‑hours services timely. • Assist in annual budget preparation, monthly financial reporting, and bank deposits. • Lead regular property inspections with janitorial, landscaping, and other service providers. • Monitor performance of service contractors. • Maintain a sense of urgency in meeting deadlines.

What You Bring

Candidates must have at least one year of property management experience, a high school diploma or GED (Bachelor’s degree preferred), and proficiency with the Microsoft Office Suite. Essential competencies include customer service focus, strong organization, time‑management, effective communication, initiative, multitasking, and a sense of urgency. • Demonstrate strong organizational and time‑management skills. • Communicate effectively in oral and written forms. • Show proactive initiative and ability to multitask. • High school diploma/GED required; Bachelor’s degree preferred. • Minimum 1 year of real estate/property management experience. • Proficient with Microsoft Office Suite.
