About the Role

The Facilities Coordinator supports the General Manager and leadership team by ensuring smooth day‑to‑day operations of the resort’s administrative functions. You will embody the Spirit of Service culture, providing comprehensive administrative support, managing office logistics, and collaborating across departments to deliver seamless guest experiences. • Provide administrative support to the General Manager and department heads, including scheduling and project coordination. • Serve as primary liaison for internal office operations, maintaining a safe and organized environment. • Support front‑of‑house staff with internal and guest‑related needs. • Manage incoming and outgoing mail, courier services, and vendor communications. • Process and code invoices for accounts payable and maintain purchase records. • Manage employee security badges and troubleshoot building access issues. • Order and oversee inventory of office supplies, business cards, and stationery. • Ensure office equipment functionality and arrange maintenance as needed. • Provide front office coverage during breaks, greeting guests and answering calls professionally. • Coordinate facility‑related issues with the Facilities Manager for repairs and maintenance. • Create and submit purchase orders for facilities operations. • Assist with guest service coordination, including special requests, group bookings, and resort events. • Collaborate with housekeeping, front desk, food & beverage, and recreation teams for seamless service delivery. • Monitor guest feedback and help implement service improvements. • Maintain records of guest preferences, service recovery efforts, and administrative documentation. • Help plan and execute resort events, group bookings, and special occasions.

What You Bring

• High school diploma or GED required. • Minimum three years of experience in administrative, facilities, or hospitality support roles. • Strong organizational, written, and verbal communication skills. • Ability to manage multiple tasks independently and efficiently. • Proficiency in Microsoft Office (Word, Excel, Outlook). • Ability to work collaboratively across departments and with all staff levels. • Capable of lifting up to 25 pounds.
