About the Role

The coordinator will manage the end‑to‑end proposal process, support multiple concurrent proposals, develop marketing collateral, ensure compliance with RFP requirements, and maintain internal meeting logistics and branded‑material inventories. They will also contribute to client relationship management, reporting dashboards, and continuous improvement of proposal content and databases. • Support senior proposal coordinators and managers from capture planning through final submission. • Participate in concurrent proposals, including review meetings, follow‑up actions, production, and submittals. • Track amendments and clarifications to ensure proposals incorporate all required information. • Develop marketing materials such as project sheets, resumes, presentations, and other collateral. • Assist with editing and proofreading of proposal documents. • Evaluate technical content to meet RFP requirements, evaluation criteria, and compliance. • Participate in quality reviews of proposals and interview materials. • Support client relationship management and financial systems for reporting metrics and dashboards. • Plan and coordinate large internal meetings, both in‑person and virtual. • Maintain inventory of branded materials for client visits, conferences, and recruiting. • Deconstruct proposal contents and update the firm’s database with latest industry trends and success stories. • Support client interview activities and proposal debriefs. • Apply best practices and process improvement initiatives.

What You Bring

HDR is seeking a Marketing Coordinator to collaborate with technical staff, senior marketing coordinators, and proposal managers on proposal submissions for Power, Industrial, and Waste programs. The role involves capture planning, proposal preparation, and responding to federal solicitations in a fast‑paced environment that values strong organizational and digital skills. Preferred qualifications include an associate or bachelor’s degree (or equivalent experience), experience in the A/E/C industry, proven organizational and coordination abilities, meticulous attention to detail, self‑starting attitude, strong project‑management and interpersonal skills, and a willingness to travel for in‑person engagement. Required qualifications are excellent written and verbal communication, proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Creative Cloud applications, especially InDesign. • Understand capture planning and proposal development process; adhere to schedules and compliance. • Understand quality, budget, and schedule performance of proposal efforts. • Associate or Bachelor’s degree in a related field or equivalent experience. • Experience in the A/E/C industry. • Demonstrated experience in organizational and coordination activities. • Exceptional attention to detail and strong organizational skills. • Self‑starter with a history of completing projects with limited oversight. • Strong project management ability to juggle multiple priorities and meet tight deadlines. • Strong interpersonal skills; comfortable working with diverse and remote teams. • Willingness and ability to travel and engage in‑person. • Excellent written and verbal communication skills. • Proficient in Microsoft Office applications: Outlook, Word, Excel, PowerPoint. • Proficient in Adobe Creative Cloud applications, especially InDesign.
