Document Control Specialist
Manage and control technical documentation for engineering projects

About the Role
The role requires maintaining the Document Management System, coordinating document delivery across all disciplines and clients, and monitoring document status to support project planning and workflow activation. Candidates will also be expected to produce status reports, ensure adherence to company standards, and train end‑users on the document management tool. • Register, issue, update, and archive technical project documentation (drawings, specifications, certificates, etc.). • Maintain and keep the Document Management System (DMS) up to date. • Prepare the Project Document List in collaboration with all disciplines and the list of documents to be shared with the client. • Coordinate with all disciplines and clients to ensure proper document delivery and traceability. • Collaborate with Project Management, Engineering, and Planning teams to monitor document status, update planning dates, and activate internal and external documentation workflows. • Prepare reports on document status. • Ensure compliance with company standards and document control procedures. • Review technical specifications to identify document management requirements for projects. • Provide training to end‑users on the use of the document management tool. • Prepare and collate Health & Safety Files, including technical manuals (O&M), to meet project requirements. • Support off‑site activities such as scanning and filing project documentation at customer premises. • Manage outsourced printing suppliers by requesting quotations, monitoring quantities, and reporting to the Project and Document Manager.

What You Bring
Applicants should have a background in Library and Information Studies or a related technical degree, at least five years of document control experience in engineering firms, and strong knowledge of document management platforms such as InEight, SharePoint, or Aconex. Proficiency with Microsoft Office, strong organizational skills, and an eye for detail are essential, while familiarity with BIM environments and industry‑specific documentation standards is advantageous. • Library and Information Studies (or similar) or technical degree with proven document management experience in engineering companies. • Minimum of 5 years’ experience in document control activities within engineering firms. • Knowledge of document management tools (InEight, SharePoint, Aconex, Livelink, Extended ECM, etc.). • Familiarity with Autodesk Construction Cloud (ACC) and BIM environments (preferred). • Proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint). • Strong organizational skills, attention to detail, and effective communication abilities. • Understanding of industry‑standard client documentation practices (e.g., National Grid, SSE, SPEN, DNO) is desirable. • IOSH Managing Safely certification or similar is desirable.
