About the Role

The Administrative Assistant role supports general office activities and projects, providing administrative and customer service assistance under moderate supervision, often interacting with homeowners and board members. This part‑time position works 30 hours per week, Monday through Friday, 10 am–3 pm/4 pm, and is based at the CMC corporate office in Chantilly, VA. • Manage phones, emails, and correspondence. • Review, enter, and update vendor contracts. • Follow up with vendors, schedule onsite repairs, and respond to inquiries. • Research and resolve issues via in‑person, phone, or email. • Respond to homeowners, new owners, and owner control inquiries. • Research and answer questions on taxes and audits. • Create and send HOA violation notices. • Enter, update, and close work order tickets. • Schedule board meetings, assemble packets, and prepare meeting rooms. • Receive, sort, and distribute mail and packages. • Coordinate with attorneys on liens, compliance, and litigation matters. • Submit invoices for payment. • Maintain confidentiality and discretion.

What You Bring

• High School Diploma or GED required. • Minimum 1 year of administrative, clerical, or office assistant experience. • Proficient in Microsoft Office (Word, Excel, Outlook, etc.). • Strong professional written and verbal communication skills. • Excellent business correspondence abilities (grammar, punctuation, spelling). • Self‑motivated, proactive, detail‑oriented, and able to work well in a team. • Ability to prioritize, manage time, and meet deadlines.
