About the Role
The Hire Administrator will act as the link between operations, sales and finance, ensuring equipment is delivered and collected on time, quotations are accurate, and invoices are processed correctly. The role also involves maintaining accurate records in Syrinx, generating documentation, and supporting continuous improvement initiatives while staying up‑to‑date with industry regulations. • Maintain accurate, up‑to‑date records of plant and equipment availability, status, and movements in Syrinx. • Manage the end‑to‑end hire process in Syrinx, from booking through off‑hire, sale or return charges. • Coordinate delivery and collection of hired equipment with the operations team, ensuring timely communication. • Collaborate with the sales team to gather customer requirements, provide quotations, and process orders. • Respond promptly to customer and internal inquiries, delivering exceptional service and resolving issues. • Generate hire agreements, purchase orders and other documentation accurately using the software. • Work with Finance to ensure accurate and timely invoicing. • Uphold data accuracy and integrity within Syrinx, entering and updating information correctly. • Identify and implement process improvements within the hire administration function. • Stay informed on industry trends, regulations and best practices to ensure compliance and support customers. • Contribute to projects aimed at improving efficiency, customer satisfaction and profitability. • Commitment to safety and sustainability, ensuring an eco‑friendly working environment.

What You Bring
• Previous hire administration or rental processing experience, preferably in construction or plant hire. • Familiarity with Syrinx or similar plant hire management systems (desirable). • Excellent organizational, prioritisation and multitasking abilities in a fast‑paced environment. • Strong attention to detail and commitment to high‑quality records and documentation. • Effective communication and interpersonal skills for building relationships with internal teams and customers. • Proactive problem‑solving capability. • Proficiency with Microsoft Office (Word, Excel, Outlook) and general computer literacy. • Knowledge of plant and construction equipment terminology and specifications (beneficial). • Ability to work independently and collaboratively with a positive attitude. • Willingness to learn and stay updated on new software features. • Use of modern, cutting‑edge plant and machinery.
