About the Role

• Manage and maintain executive calendars; schedule, plan, and coordinate onsite and offsite meetings and events, preparing agendas and materials. • Record meeting minutes, track action items, and ensure attendees have necessary information, including directions and maps. • Arrange domestic and international travel, manage itineraries, travel accounts, and obtain visas as needed; may accompany executive on trips. • Organize virtual and in‑person team offsites, handling logistics, amenities, and activities. • Foster positive relationships with internal staff, departments, and external high‑level contacts; oversee information flow within the division. • Maintain confidential employee and company records; coordinate new‑hire processing and track performance goals. • Prioritize executive emails, route communications, and proactively escalate urgent issues. • Manage email aliases, distribution lists, shared directories, and permissions. • Organize and track data in databases to generate reports; coordinate quarterly All‑Hands meetings via Zoom and in person. • Process executive expenses, generate reports, approve purchasing system notifications, and liaise with Accounts Payable. • Oversee departmental purchases, asset management, budget tracking, and cost reclassifications. • Draft correspondence, handle general office administration tasks, and coordinate space planning with Facilities. • Maintain and update internal webpages as needed. • Build productive relationships across all levels with a customer‑service mindset. • Multi‑task effectively, prioritize projects, meet deadlines, and stay within budget. • Keep large volumes of information highly organized and adaptable in fast‑paced environments.

What You Bring

We are seeking an experienced Executive Assistant to support the Vice President of Data & Process Management within our Business Strategy & Marketing (BSM) Design & Manufacturing group. The team is cross‑functional and geographically distributed, shaping business strategy and marketing for design and manufacturing. The Assistant will work closely with the VP and his Chief of Staff, handling confidential tasks, proactively solving problems, and keeping the team running efficiently. • Demonstrate initiative, self‑start attitude, and ability to work independently or within a team on complex assignments. • Possess 4–6 years of senior‑level executive support experience and strong multitasking, time‑management, and self‑starter skills. • Adapt to rapidly changing processes; work well under pressure and communicate clearly. • Proficient with Microsoft Office, macOS/Windows, Slack, Teams, SharePoint; excellent written and oral English. • Ability to travel locally and internationally for events and meetings.
