About the Role
• Manage and track active maintenance agreements, including renewals, expirations, and customer outreach • Coordinate scheduling and follow‑up for maintenance visits • Assist in promoting and converting maintenance agreements when opportunities arise • Order, track, and coordinate parts required for maintenance and service jobs • Communicate with vendors and internal teams to ensure timely part availability • Maintain accurate records of parts usage and job readiness • Process manufacturer and labor warranty claims accurately and timely • Maintain warranty documentation and ensure compliance with vendor requirements • Act as liaison between technicians, vendors, and internal teams regarding warranty matters • Identify and document potential sales leads from maintenance and service interactions • Communicate leads to the appropriate sales or service leadership teams • Support technicians by ensuring job information, parts, and documentation are complete • Maintain accurate records in company systems related to maintenance, parts, and warranties • Communicate professionally with customers regarding service updates, agreements, and follow‑ups • Support dispatch and service teams as needed to ensure a positive customer experience

The ideal candidate is organized, proactive, and comfortable working cross‑functionally with technicians, dispatch, vendors, and customers to ensure a smooth and efficient service experience. Qualifications include prior experience in HVAC, plumbing, or home services coordination, strong organizational and time‑management skills, and the ability to handle multiple priorities in a fast‑paced environment. Excellent communication and customer‑service abilities are required, and proficiency with scheduling software, CRM, or service‑management systems is preferred.
