About the Role
Our Maintenance Specialists provide clerical and administrative support to Fleet Managers, coordinating daily fleet operations and handling data recording and reporting. Key responsibilities include maintaining fleet data in the COMPASS software, administering payroll and timekeeping systems, entering repair and warranty information, managing vendor relationships, overseeing purchase orders and ensuring SOX compliance, reconciling fleet purchases and uploading invoices, handling daily fuel and hour‑meter entries, supervising parts purchasing and inventory control (including tire procurement), and conducting biannual inventory counts. The specialist also prepares month‑end reports, generates various fleet reports, maintains filing systems in line with company policies and regulations, and assists with fleet projects as needed. • Maintain fleet data in COMPASS maintenance software. • Administer payroll timekeeping, schedules, vacation tracking, and reporting. • Enter commercial fleet repair, work orders, and warranty claim data for quarterly incentive programs. • Communicate and maintain relationships with vendors. • Process purchase order requisitions via WM purchasing system and ensure SOX compliance. • Reconcile fleet purchases and upload invoices to SharePoint. • Manage daily fuel and hour‑meter entries and reconciliation. • Oversee parts purchasing and inventory control, including tire procurement. • Maintain minimum and maximum parts inventory levels and conduct biannual physical counts. • Prepare month‑end reports and meet reporting deadlines. • Generate fleet reports as directed by the Fleet Manager. • Maintain fleet filing systems according to company policy and regulatory requirements. • Assist with fleet projects and perform additional duties as assigned.

What You Bring
