About the Role
The HR Administrative/Operations Assistant provides support to all employees and stakeholders, handling incoming calls, emails, and in‑person meetings concerning HR policies, practices, procedures, and training. The role is responsible for receiving, routing, resolving, documenting, and closing inquiries accurately and in a timely manner while maintaining a customer‑focused approach. The assistant interacts cross‑functionally with Centers of Expertise, HR Business Partners, and other departments to ensure seamless handoffs and high‑quality communication. They also assist other HR teams and projects as needed, supporting both internal and external business partners. Key duties include creating electronic records of stakeholder interactions, coordinating transition activities such as payroll, benefits, recruiting, and training, and performing administrative tasks like research, updating templates, and preparing collateral. The role maintains filing systems, ensures accurate data entry, answers routine queries for managers and employees, and acts as a liaison to resolve problems. • Field employee inquiries via phone, email, and in‑person and provide guidance on HR policies and procedures. • Route, resolve, document, and close all inquiries accurately and promptly. • Record stakeholder interactions electronically to ensure quality service. • Support other HR teams and projects for internal and external partners. • Coordinate payroll, benefits, recruiting, and training transitions with shared services. • Conduct research, update standard templates and reports, and prepare HR collateral. • Establish and maintain filing systems and ensure accurate data entry in HR systems. • Answer routine manager and employee queries and serve as liaison to resolve issues. • Participate as an active member of cross‑functional special project teams.
