About the Role
• Answer and route multi‑line phone calls professionally. • Greet visitors, clients, and vendors to create a positive first impression. • Keep the reception area clean, organized, and welcoming. • Handle incoming and outgoing mail and packages, coordinating with carriers. • Perform routine data entry with high accuracy. • Manage internal calendars and schedule meetings and appointments. • Create, edit, and format documents, reports, letters, and spreadsheets using Word and Excel. • Scan, upload, file, and maintain electronic and physical records. • Ensure office and common areas are organized and stocked with necessary supplies. • Coordinate with vendors for office maintenance, repairs, or services. • Assist in planning and organizing internal meetings, events, or office functions.

What You Bring
IES Residential, Inc. is seeking a proactive and detail‑oriented Administrative Assistant to support daily office operations and maintain a professional, welcoming, and efficient work environment. The role serves as the first point of contact for visitors and callers while providing essential administrative and clerical support across the office. The position requires no formal education and 0–2 years of experience. Preferred qualifications include at least one year of administrative or receptionist experience in a fast‑paced setting, bilingual English/Spanish ability, proficiency with the Microsoft Office Suite, strong communication and organizational skills, and the ability to manage multiple priorities and meet deadlines. Physical demands include extended periods of sitting, standing, and walking, frequent use of hands for typing and filing, and the ability to lift up to 15 lb. The role also requires operation of standard office equipment and a valid license. • Minimum one year of administrative or receptionist experience, preferably in a fast‑paced environment. • Bilingual English/Spanish preferred. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). • Strong verbal and written communication skills. • Excellent organizational skills and attention to detail. • Ability to manage multiple priorities and meet deadlines.
