About the Role
The Assistant Project Lead – Documentation Controller will support project management teams across commercial‑real‑estate initiatives by maintaining comprehensive documentation systems, ensuring quality control, and coordinating processes while assisting senior project managers. Key duties include establishing and maintaining centralized documentation repositories for drawings, specifications and correspondence, implementing version‑control protocols, coordinating reviews and approvals, and handling secure storage of sensitive information. The role also assists project leads with meeting coordination, action‑item tracking, progress reporting and schedule monitoring, while maintaining accurate data across project management platforms. Quality assurance responsibilities involve reviewing documentation for completeness, accuracy and compliance with JLL standards and client requirements, conducting checks on drawings and reports, and ensuring regulatory and formatting adherence. The incumbent serves as the primary contact for document‑related inquiries, prepares status reports and summaries for leadership, and logs communications. Continuous improvement is expected through identifying opportunities to streamline documentation processes, recommending system enhancements, training team members on procedures and supporting the rollout of new technologies and workflows. • Establish and maintain centralized project documentation systems (drawings, specs, correspondence). • Implement version‑control and secure storage protocols for all project files. • Coordinate document reviews, approvals and distribution among stakeholders. • Support project leads with meeting coordination, action‑item tracking and progress reporting. • Monitor deliverable timelines and update project schedules with consultants and contractors. • Conduct quality‑control checks to ensure documentation meets JLL standards and regulatory requirements. • Serve as primary contact for document‑related inquiries and maintain communication logs. • Prepare project status reports and documentation summaries for leadership review. • Identify and recommend process improvements; train team members on document‑management procedures. • Support implementation of new documentation technologies and workflow tools.

What You Bring
The position requires a Bachelor’s degree in Construction Management, Architecture, Engineering or a related field and 3‑5 years of experience in project documentation, construction administration or real‑estate support. Candidates must demonstrate strong organizational, written and verbal communication skills, attention to detail, and the ability to work independently while supporting team objectives. Technical competencies include experience with cloud‑based document management platforms, version‑control systems, Adobe Acrobat and PDF processing, and familiarity with architectural drawing standards, building codes and contract administration. Preferred experience covers commercial‑real‑estate or construction backgrounds, knowledge of JLL methodologies, large‑scale office or retail projects, and exposure to international or multi‑location portfolios. • Hold a Bachelor’s degree in Construction Management, Architecture, Engineering or related field. • Possess 3–5 years of experience in project documentation, construction administration or real‑estate support. • Demonstrate strong written and verbal communication, organizational and detail‑orientation skills. • Proficient with cloud‑based document management platforms, version‑control systems, Adobe Acrobat and PDF processing. • Knowledge of architectural/engineering drawing standards, building codes and contract administration. • Preferred: experience in commercial real‑estate, large‑scale office/retail projects, and familiarity with JLL project‑management methodologies.
