About the Role

The Administration Coordinator role provides essential administrative, clerical, and coordination support across projects, finance, health & safety, and office operations, ensuring smooth day‑to‑day functions and accurate record‑keeping. Based in Summerland, BC, the position supports internal teams, manages reporting systems, and handles confidential matters related to substance testing and disability management. • Collect and report on fuel data • Enter RFA data into SEO system • Support reporting platforms (ATRIA, Sustainability, Document Control, Taxonomy, JIRA) • Schedule and lead training sessions • Coordinate meetings, prepare materials, and take minutes • Track and manage absence reports, including sick leave and WCB claims • Handle confidential matters related to substance testing and disability management • Receive, track, and distribute mail and courier items • Maintain health & safety documentation, training records, and incident files • Prepare timely and accurate H&S dashboards and reports • Assist with compliance tasks and safety awareness initiatives • Provide professional, responsive support to various departments

What You Bring

• Degree or diploma in a related field, or equivalent education and experience • Demonstrated experience in a similar role • Proficiency in MS Office Suite, especially Excel • Excellent organizational and multitasking abilities • Strong interpersonal and customer service skills • High level of discretion and confidentiality • Ability to work independently and exercise sound judgement • Familiarity with collective agreements and employment legislation (asset)
