About the Role
The Brokerage Coordinator reports to the Director of Operations and provides support to fee‑earners and their teams. This role manages client service activities such as pitch and proposal development, transaction support, and administrative functions, while coordinating with multiple departments to meet client needs. Key duties include managing databases and the content creation process, coordinating timelines with Marketing, Research, and Financial Analyst teams, and ensuring deliverables are completed on schedule. The coordinator also provides sales and deal support, prepares expense reports, schedules meetings, and handles travel logistics for fee‑earners. Additional responsibilities involve abstracting leases, drafting proposals, compiling landlord leasing activity reports, and producing marketing collateral such as pitch presentations, property flyers, brochures, e‑blasts, event invitations, tour books, and floor‑plan edits. Transaction documents such as confidentiality agreements, leases, contracts, listings, and closing files are organized for deal submission, and client contact lists are maintained within the CRM system. • Manage databases and CRM entries, entering new leads and updating opportunities. • Coordinate content creation timelines and production cycles with Marketing, Research, and Financial Analyst teams. • Prepare pitch decks, proposals, property flyers, brochures, e‑blasts, and event invitations for fee‑earners. • Abstract leases, draft proposals, and compile landlord leasing activity reports. • Organize transaction documents (confidentiality agreements, leases, contracts, listings, closing files) for deal submission. • Schedule meetings, book travel, and handle expense reporting for fee‑earners. • Plan, schedule, and promote fee‑earner hosted events and manage client contact lists. • Provide sales and deal support, ensuring timely delivery of deliverables. • Maintain high‑quality written and oral communication, multitask, and manage projects with attention to detail.

What You Bring
The ideal candidate holds a Bachelor’s degree (preferred in Business, Marketing, Communications, or Finance) and brings at least three years of professional experience, ideally with executive‑level administrative support. Required skills include advanced Microsoft Office proficiency, intermediate knowledge of Adobe InDesign, Photoshop, and Salesforce, excellent written and oral communication, strong multitasking, project management, and meticulous attention to detail. • Minimum three years of professional experience; Bachelor’s degree in Business, Marketing, Communications, or Finance preferred. • Proficient in Microsoft Office; intermediate skills in Adobe InDesign, Photoshop, and Salesforce a plus.
