About the Role
The Document Management Specialist delivers high-level support by ensuring all records, documents, and business processes comply with applicable regulatory guidance. Responsibilities include pre-processing document reviews, maintaining electronic indexes of site-specific files, converting and merging documents, and distributing them according to established lists. The role also provides user assistance for information retrieval, safeguards controlled data, and notifies impacted organizations of updates or upcoming reviews. • Review incoming documents for compliance with regulations and procedures. • Apply governing procedures to process documents accurately. • Enter data into the document repository and assign document numbers. • Distribute documents according to established lists and priorities. • Update document attributes and maintain electronic indexes. • Ensure security and preservation of controlled and confidential information. • Generate standard and ad‑hoc reports from the document system. • Create project documents and installation/maintenance manuals. • Provide first‑line customer support via email, phone, and in‑person. • Maintain recipient lists and manage document libraries. • Conduct business process reviews to identify improvements and cost reductions. • Assist in assessing compliance with internal procedures and guidelines. • Administer vendor technical information requirements as assigned. • Lead or train staff and coordinate activities when needed. • Solve moderately complex problems and act as a technical resource. • Communicate effectively with external organizations and vendors. • Provide medical, dental, vision, life, AD&D, and disability insurance.

What You Bring
