About the Role

The Project Coordinator provides routine administrative support to internal and external project management teams, handling data collection, processing, organization, and filing to meet the documentation, reporting, compliance, and communication needs of projects. Work may involve lifting up to 10 pounds, occasional travel, and non‑traditional hours to meet project needs, in a normal office environment that can include extreme temperature conditions. • Use WorkSmart responsibility matrix to align with business process improvements throughout the project lifecycle. • Collect, process, input, organize, and file project data and documentation per established procedures. • Process information within required timeframes to maintain efficiency. • Communicate timely and effectively with internal and external stakeholders. • Support bidding by creating bid invitations, preparing specifications, addressing regulatory/compliance requirements, and tracking bid communications. • Issue and prepare bond memos during the award phase. • Set up, issue, and fully execute subcontracts. • Provide system access to project dashboards. • Organize information into standard formats and maintain documents in systems such as CMiC and electronic signature tools. • Coordinate submission of project documentation and prepare routine correspondence, ensuring compliance with best‑practice formats. • Create and distribute potential change items (PCIs) and requests for information (RFIs), follow up on pricing and change orders. • Manage project deliverables by updating the dashboard and electronically processing submittals, pay applications, compliance documents, and change documents. • Track and verify required documentation (badging, certified payroll, diversity reporting, insurance, bonds, lien waivers, affidavits) to meet compliance before subcontractor payments. • Provide additional administrative support such as handling calls, visitors, travel arrangements, and expense reporting as needed. • Apply subject‑matter expertise to support teamwork and uphold confidentiality and integrity of sensitive information. • Deliver high customer‑service standards, promptly address difficult situations, meet commitments, and seek feedback for improvement. • Build relationships and collaborate across teams, both internally and externally.
