About the Role

• Provide administrative support to Property Managers, including document preparation, purchase orders, lease file maintenance, and work order system administration. • Order office and building supplies and train new engineers on the work order system. • Serve as primary point of contact for tenants, handling calls, coordinating service requests, following up for satisfaction, and providing emergency information. • Prepare proposals, invoices, and coordinate tenant events, security access, and evacuation drills. • Manage tenant move‑in/move‑out processes, including COI collection, welcome materials, signage procurement, and after‑hours logistics. • Coordinate and monitor service contracts, ensuring insurance, waivers, and maintaining an expiration tickler file. • Process and code invoices, assist with cash receipts, collections, and reconcile monthly tenant work order billings. • Perform financial and business analysis, support budgeting and forecasting activities. • Apply strong analytical, quantitative, and problem‑solving skills to interpret documents and resolve issues. • Deliver excellent customer service to property owners and tenants, including handling collections and sensitive inquiries. • Create reports, manuals, presentations, and communications with a distinct style.

What You Bring

The ideal candidate holds a high school diploma or equivalent, with some college preferred, and has at least two years of relevant work experience. Required abilities include analyzing complex business documents, writing reports and presentations, handling sensitive client inquiries, motivating stakeholders, and providing excellent customer service to owners and tenants. Advanced analytical and quantitative skills are essential for budgeting, forecasting, and problem solving. Experience with Yardi software is a plus. • Utilize Yardi software (preferred) and other property management systems.
