About the Role
The Service Administrator plays a vital role in supporting the Service Department and delivering outstanding service to both external and internal clients. Acting as the main communication bridge between customers and the broader team, this position ensures efficient coordination, advanced scheduling, and smooth administration of service operations. In this role you will oversee the complete lifecycle of service jobs using the ERP system, handle contract data entry—including renewals, new agreements and warranty creation—and monitor costs to stay within budget. You will process vendor invoices for accounts payable, work with Service Managers to schedule technicians’ daily activities, and manage all aspects of service jobs from breakdown repairs to maintenance projects. Additionally, you will serve as the primary point of contact for technicians, promptly resolving issues related to vehicles, tools, equipment, and parts. • Oversee service job lifecycle from creation to completion using ERP. • Enter and maintain contract data, including renewals, new agreements, and warranties. • Monitor costs and ensure expenses align with budgets. • Process vendor invoices and coordinate payments with Accounts Payable. • Collaborate with Service Managers to schedule technicians and ensure timely service delivery. • Manage service jobs such as breakdown repairs, maintenance agreements, projects, and quoted work. • Serve as primary liaison for technicians, addressing vehicle, tool, equipment, and parts issues.

What You Bring
The ideal candidate has prior experience in an administrative or coordination capacity and is comfortable working with SAP or similar ERP platforms. Strong multitasking, prioritization, and intermediate computer skills—with a high attention to detail—are essential, as are excellent verbal and written communication abilities. A solution‑focused mindset, adaptability in fast‑paced environments, and exposure to the building, construction, or service sectors are highly valued; experience with Salesforce and advanced Excel navigation are also advantageous. • Possess prior administrative or coordination experience, preferably with SAP. • Demonstrate strong multitasking, prioritization, and intermediate computer skills with high attention to detail. • Exhibit exceptional verbal and written communication and a solution‑focused mindset. • Adapt quickly to fast‑paced, high‑pressure environments; experience in construction or service industry is a plus. • Experience with Salesforce and advanced Excel data navigation is advantageous.
