About the Role

The Portfolio Community Association Manager supervises the operation and administration of a community association, serving as the primary liaison between the board, homeowners, vendors, and committees. This role ensures that management tools, financial reporting, and legal matters are handled effectively while maintaining community standards. • Supervise association operations per management agreement and policies. • Act as primary liaison with the Board of Directors and homeowners. • Perform administrative and management duties requested by the Board. • Develop and utilize community management tools such as calendars, action lists, and budgets. • Review monthly financial reports and provide summaries to the Board. • Recommend major capital expenditures to maintain community appearance. • Monitor delinquency rates and manage the collections process. • Attend Board, committee meetings, and community events as required. • Prepare Board packages within established timelines. • Alert the Board to any legal actions involving the association. • Maintain unit, contract, and resident information files, including the C3 database. • Assist with architectural reviews and routine inspections. • Manage vendor procurement, performance evaluation, and special projects. • Oversee staff according to contractual agreements. • Coordinate inspections of facilities and common areas, ensuring follow‑up actions. • Manage accounts payable in line with home office procedures.

What You Bring

Physical duties include prolonged periods of sitting, standing, walking, kneeling, and lifting up to 25 pounds, as well as performing routine inspections and other manual tasks required to support the community. • Hold an AMS certification and at least 5 years of industry experience across condos, single‑family homes, and townhomes. • Possess proficient knowledge of Microsoft Office, HOA operations, and conflict‑resolution techniques. • Demonstrate strong professional communication and customer service skills. • Be self‑motivated, detail‑oriented, and capable of prioritizing time‑critical tasks. • Prefer an Associate’s or Bachelor’s degree; CMCA certification preferred within 12 months. • Pass background check and drug screening; have 1‑3 years community association experience.
