About the Role

The Account Coordinator supports day-to-day facilities operations by reviewing, processing, and managing work orders within OPX and client platforms. They ensure accuracy, timely follow‑up, and clear communication with internal teams, subcontractors, and clients, maintaining service excellence through attention to detail, progress tracking and operational reporting. In this role you will review incoming work orders for accuracy, enter and maintain them in OPX, monitor client portals for updates, prioritize and assign orders based on urgency and SLAs, track progress, ensure documentation is uploaded, and communicate scheduling and clarifications to field teams and vendors. You will also follow up on overdue orders, generate regular performance reports, maintain dashboards and logs, provide summaries to leadership and clients, assist Account Managers, support special projects and keep organized records. • Review and validate incoming work orders in OPX and client portals. • Enter, maintain, and update work orders per company standards. • Monitor client portals for new requests, notes, and required actions. • Prioritize and assign work orders according to urgency, SLAs, and client needs. • Track work order progress from start to completion across systems. • Ensure upload of required documentation (photos, notes, completion details). • Communicate scheduling, updates, and clarifications to field teams, subcontractors, and vendors. • Follow up on outstanding or overdue work orders to ensure timely resolution. • Generate daily, weekly, and monthly work order status and SLA compliance reports. • Maintain dashboards, logs, and OPX reporting tools for operational visibility. • Provide operational summaries and data insights to leadership and clients. • Assist Account Managers with client communications and service updates. • Support special projects, urgent requests, and service changes. • Keep organized work order files and account records.

What You Bring

Candidates should have 1–3 years of facilities services, operations coordination, or administrative support experience, familiarity with work‑order platforms such as OPX, strong attention to detail, excellent communication and follow‑up skills, and the ability to juggle multiple priorities in a fast‑paced environment. Proficiency in Microsoft Office (Excel, Outlook, Teams) and a customer‑service mindset are required; knowledge of janitorial or maintenance services, reporting experience, and understanding of SLAs and subcontractor coordination are preferred. • 1–3 years experience in facilities services, operations coordination, or administrative support. • Experience with work order management platforms (OPX or similar). • Strong attention to detail and accurate data entry. • Excellent communication and proactive follow‑up abilities. • Ability to manage multiple priorities in a fast‑paced environment. • Proficiency in Microsoft Office Suite (Excel, Outlook, Teams). • Customer‑service mindset and cross‑team collaboration. • Preferred: knowledge of janitorial/maintenance operations and reporting experience. • Familiarity with SLAs, subcontractor coordination, and work order lifecycle.
