About the Role
The role includes front‑desk and visitor management, call handling, and maintaining a professional reception environment. You will manage mail and courier services, office supplies, equipment, and miscellaneous payments, as well as assist with work permit and visa applications. Additional duties cover travel coordination, expense reporting, meeting and event support, onboarding welcome kits, and providing backup coverage for the Dubai Office Administrator. • Greet visitors, manage calls, and maintain a welcoming reception area. • Coordinate mail, courier deliveries, and office supply procurement. • Process miscellaneous payments and ensure office equipment is functional. • Assist with work permit and visa applications, handling required documentation. • Support travel arrangements, expense reports, and meeting scheduling. • Prepare welcome kits and manage conference room bookings with AV setup. • Provide backup coverage for the Dubai Office Administrator as needed.

What You Bring
We are seeking an experienced Receptionist Office Administrator for our growing Abu Dhabi office. As the face of the office, you will be the first point of contact for clients, consultants, and colleagues, embodying Gensler's culture of welcome, friendship, and collaboration. Candidates should have at least three years of relevant front‑office experience, preferably in an architectural or design firm, and present a professional appearance. Strong verbal and written English communication skills are required, with Arabic preferred, along with proficiency in Microsoft Office and office equipment. Excellent organizational abilities, a proactive attitude, discretion with confidential information, and a customer‑focused, team‑oriented mindset are essential. • Minimum 3 years of front‑office experience, preferably in architecture or design. • Professional appearance with strong English communication; Arabic a plus. • Proficient in Microsoft Office Suite and familiar with office equipment. • Demonstrated organizational, multitasking, and proactive problem‑solving skills. • Ability to handle confidential information with discretion and a customer‑focused attitude.
