About the Role

The Project Administrator oversees the management of project‑related documents, transfers, and archiving processes, developing procedures that ensure accuracy, quality, and integrity. This role works closely with internal departments and clients to maintain consistent document‑control practices and enable reliable retrieval and submission via various tracking systems. The administrator also supports the project team by coordinating communications, scheduling tasks, and facilitating deliverable coordination. • Perform project management administrative tasks with minimal oversight • Manage high‑volume RFIs and submittals using construction management software (e.g., Newforma, Procore) • Assist in developing and coordinating project proposals and contracts • Format and compile specifications and reports to meet NV5 and client standards • Support the Project Manager in meeting deadlines by communicating deliverable needs • Facilitate coordination of project deliverables and internal/external communication • Schedule and assign tasks to internal team members and organize project meetings • Maintain quality documentation and support QA/QC processes • Identify project conflicts and work with the Project Manager to resolve them • Collaborate with clients to ensure solutions align with their expectations • Support business development by maintaining client relationships

What You Bring

• Utilize Word, Excel, Adobe PDF/Bluebeam, and project management tools • Minimum 4 years relevant experience, including 2 years of project support • Basic understanding of project execution, building design, and construction principles • Self‑starter with strong influence, motivation, collaboration, communication, and organization skills • Associate or bachelor’s degree preferred; AEC or professional services experience preferred
